HELP & PLANNING · FROM OUR VAUGHAN STUDIO

A seating chart
with room to read.

Enter your guest or table count, then compare seating-chart formats for your celebration. See the number of names on each board. Final dimensions and readable lettering are confirmed with your actual names, artwork, and venue details.

01 / YOUR CELEBRATION

Let’s find a
starting point.

Enter up to 2,000 names or 250 tables. Larger celebrations can use 8 × 4-foot panels or coordinated multi-panel displays. Enter names, tables, or both. Tables alone use an estimate of 8 names per table. Couples and families are counted as individual names.

Printed names: 30 pt target. We keep names readable rather than automatically shrinking the font. More compact layouts are reviewed with the studio.

02 / YOUR SIZE COMPARISON

COMPARE YOUR OPTIONS

One panel,
or a larger display?

Dimensions are in inches, width × height. Choose a format below to compare its suitability for your guest list. Shapes and finishes are confirmed in your quote.

More than 250 guests?

Compare a large 8 × 4-foot panel, turned portrait or landscape, with two or more coordinated panels. Split lists give each section more space. Separate duplicate charts provide extra reading points, with the full list on each.

Large-scale signage installations start at C$1,500 before tax and delivery. Final dimensions, material, supports, and installation are quoted for your venue.

Enter a guest count or try a preset. Results update as you change your choices. Select a format to review its layout notes.

HOW THIS GUIDE WORKS

Space for names.
Space for design.

We estimate the usable area after side margins and a heading allowance. Printed names target 30 pt, with additional line spacing and room for headings. Smaller-panel estimates still require an actual layout check at that font size. Raised lettering needs its own spacing review.

Table-grouped lists reserve extra lines for table headings and spacing. Large boards use a past-project reference of approximately 150 names per board: we previously produced two 8 × 4-foot boards for about 300 names. Printed names target 30 pt. This is a reference layout, not a universal capacity. These are planning assumptions, not fixed production specifications. Compare the available formats, including options that may need a larger layout. These estimates help start the conversation; our studio confirms the final size with your actual list.

Before you choose your size.

What size seating chart do I need for 100, 150, or 200 guests?

Use the guide with the number of individual names you expect to list. The layout, table headings, lettering, and artwork can move a list into a larger format. Treat the result as your starting point and send your list for a studio review.

Should I list guests alphabetically or by table?

Alphabetical lists let guests look for their own surname. Table-grouped lists can suit smaller receptions or a specific design, but need room for table headings and spaces between groups. Confirm your final arrangement before production.

What if we have 300, 500, or more guests?

The calculator accepts up to 2,000 individual names. For lists above 250, it prioritizes large 8 × 4-foot formats and multi-panel options for discussion. We review your actual names, table headings, lettering, and venue before confirming dimensions. For larger events, send your guest count directly to the studio.

Should I use two charts?

Two panels can create more room for a split list. Two duplicate charts can also give guests more than one reading point, but each copy still needs to fit the complete list. Tell us how guests enter and where the display will stand.

Does the material change the size?

Acrylic and foam board offer different finishes and display options. Raised lettering usually needs more room than a compact printed list. Linen invitation stock is separate from seating-chart materials in this guide.

What about stands, rentals, delivery, and setup?

Confirm your sign dimensions and support requirements with us. Acrylic base rentals are subject to suitability and availability. Local signage delivery and setup require a C$500 signage order before tax and delivery. Large-scale signage installations start at C$1,500 before tax and delivery.
